In line with our commitment to excellence, we seek a skilled and experienced Administrative Specialist to become a full-time remote team member. In this critical position, you’ll bring your extensive administrative skills to supporting multiple departments and handling various projects simultaneously. Your responsibilities will encompass payroll and invoicing assistance, along with a range of tasks related to accounts receivable and payable. This role is an excellent opportunity to showcase your project management and operational support capabilities in a key position vital to our success. Key Responsibilities

  • Handles daily clerical and administrative duties associated with various client projects.
  • Provides administrative support to Operations and other departments, enhancing organizational efficiency.
  • Provides support for resource management tracking.
  • Executes accurate and timely payroll processing for W-2 employees.
  • Tracks state tax compliance and ensures compliance with all relevant laws (federal, state, local, and provincial) regulations for the USA and Canada.
  • Manages vendor relations.
  • Analyzes expense reports and other invoices for accuracy and eligibility for payment and reimbursement.
  • Creates invoices according to company practices; submits invoices to customers.
  • Collaborates with team members across departments to optimize operational and financial processes and systems.

What Your Background Should Look Like

  • Five+ years of experience or education providing administrative support. AR/AP experience is a plus.
  • Excellent time management and organizational skills and attention to detail.
  • Strong organizational, analytical, and problem-solving abilities.
  • Outstanding written and verbal communication abilities, complemented by strong interpersonal skills.
  • Experience and ability to learn new software and technology tools such as QuickBooks.
  • Exceptional communication abilities and a collaborative work ethic.
  • Must be located in the USA and legally authorized to work full-time remotely.

Compensation and Benefits

  • Compensation range: $45,000 – $50,000 annually
